Account & Data Deletion

You can request deletion of your Treatlly account and the personal data we hold about you at any time. This page explains exactly how to do it, what gets deleted, and what we must retain by law.

Find your role

Treatlly is a multi-tenant Practice OS — different people use it in different ways. Pick the role that matches you and follow the steps in section 2.

  • Patient — you booked an appointment via a clinic's website or the clinic's white-labelled patient app (e.g. "Acme Clinic" by Treatlly).
  • Doctor or clinic staff — you sign in to the Treatlly Staff app as a doctor, receptionist, accountant, or tenant admin.
  • Tenant admin (clinic owner) — you signed up your clinic on treatlly.com and own one or more clinic accounts.

How to request deletion

Patients

Open the clinic's patient app or website, go to your profile, and ask the clinic to remove your record. If the clinic is no longer reachable, email us at the address below with your registered mobile number and the clinic's name.

Doctors and clinic staff

Contact your tenant admin (the clinic owner) — they manage staff accounts in the Treatlly web admin and can remove yours. If you're unable to reach the admin, email us with your registered mobile number, your name, and the clinic's name or subdomain.

Tenant admins (clinic owners)

Email us from the address registered on your Treatlly account, asking to close the clinic account. We'll confirm by SMS to your registered mobile number before proceeding, since closure removes the data for every patient and staff member in your clinic.

Where to send your request

Email webmaster@treatlly.com with the subject line "Account deletion request". Include your role, registered mobile number, full name, and (if applicable) the clinic name or subdomain.

What gets deleted

On confirmation of your identity we permanently delete the following from our production database within 30 days:

  • Your name, email, and mobile number
  • Your appointment history and any family-member records you added
  • Push notification tokens for any device you registered the apps on
  • Your authentication sessions and OTP records
  • For doctors and staff: your professional profile (specialization, qualification, bio, photo) and any slot rules you created

What we must retain by law

Indian regulations require us to keep certain records even after account deletion. Specifically:

  • Financial records (invoices, payment receipts, GST documents) — retained for 8 years as required by the Income Tax Act and the Companies Act.
  • Medical records (prescriptions, lab orders, discharge summaries created at a clinic) — retained according to the relevant medical-records guidance applicable to that clinic, typically 3 years for outpatient records, longer if the case is in active litigation. These are owned by the clinic, not by Treatlly.
  • Backups — automated database backups may briefly contain your deleted data; backups age out within 35 days of creation and are not restored to production except in an emergency, in which case we re-run the deletion.

If you have specific concerns about retention beyond the standard windows, mention it in your deletion request and we'll respond in writing.

Timeline

We acknowledge deletion requests within 3 business days and complete deletion within 30 days of identity verification. You'll receive an email confirmation when the deletion is done.
